# Transcription

> How meeting transcription works, what it costs in minutes, and how to buy more.

Transcription turns a recording into text, then analysis turns that text into a summary, topics, objections, sentiment, and action items.

## How minutes work

Transcription is metered in minutes, drawn from your plan's allowance.

<Warning>
  On a team plan, minutes are a **shared company pool**, not a per-person allowance. Every member draws from the same bucket. One person transcribing a full day of meetings can exhaust the pool for the whole team.
</Warning>

A slot is reserved when a meeting **starts** processing rather than when it finishes, so a long recording can't slip through a nearly-empty pool and overdraw it.

## Running out

When the pool is empty, new meetings are rejected up front with a quota message. Nothing is silently truncated or half-processed.

  The **recording is not lost** when you hit the limit — only the processing is blocked. Top up your minutes and the recording can be processed afterwards.

## Checking your balance

Open **Leads → Minutes**. The **Meeting credits** panel shows how many credits you have left of your total, the equivalent in minutes, and how many meetings have been recorded so far.

That's the number to look at before an event, not after it.

## Topping up

There are two ways to add capacity, and they're bought differently:

    Bought by the minute under **Leads → Minutes → Add minutes**. Larger bundles carry a lower per-minute rate.

    Bought by the meeting under **Meetings packages**. One-time purchases that **never expire**, and they're only drawn on after your subscription allowance runs out.

Both are separate from your subscription, so you can top up mid-cycle without changing plans — the sensible move when one busy conference season is the exception rather than the new normal.

## Watching your usage

Check per-member meeting volume under [Insights → Members](/en/insights/members) to see where minutes are going before you buy more. Sometimes the answer isn't "buy more" but "stop recording the ten-minute booth chats".

<Tip>
  Record the conversations worth reviewing, not every interaction. A thirty-second "here's my card" exchange produces a transcript nobody reads and consumes the same minutes as a real discovery conversation.

## Accuracy

    Trade show floors are the hardest environment there is. Get the phone close to both speakers, and step somewhere quieter for conversations that matter.

    The transcript attributes lines to different speakers, so you can tell who said what. Saying names early in the conversation improves this noticeably.

  <Accordion title="Accents and mixed languages" icon="language">
    Accented speech transcribes well in general. Conversations that switch between languages mid-sentence are the hardest case and will have more errors.

  <Accordion title="Product names and jargon" icon="spell-check">
    Unusual product names are the most commonly mis-transcribed words. The summary usually still captures the meaning correctly even where a specific term is spelled oddly.

## Privacy

Recordings and transcripts are tied to the lead they belong to and visible to the member who captured them and to admins.

Deleting a lead removes its meetings and transcripts. For formal erasure requests, see [GDPR mode](/en/account/gdpr-mode).

  Recording consent is your responsibility. Requirements vary by country and by state, and some places require every party to agree. Tell people you're recording before you start.
