# Members

> Invite people to your team, assign departments and templates, and manage access.

A **member** is a person with a Tap login. Each member holds one or more [profiles](/en/getting-started/core-concepts#profile) — the identities they actually share.

## Adding one member

<Steps>
  <Step title="Open the form">
    Go to **Members → Create**.
  </Step>

  <Step title="Enter their details">
    Name and email at minimum. The email is both their login and the address the invitation goes to.

    <Warning>
      Use the same email address they use in your CRM. Lead owner assignment matches on email, and a mismatch sends every one of their leads to the default owner. See [Integrations overview](/en/integrations/overview#lead-owner-assignment).
    </Warning>
  </Step>

  <Step title="Assign a department">
    The department decides what they're allowed to edit and which CRM they can reach. See [Department permissions](/en/teams/department-permissions).
  </Step>

  <Step title="Assign a template">
    The template shapes their profile so it matches your brand from day one. See [Templates](/en/teams/templates).
  </Step>

  <Step title="Send the invitation">
    They receive an email, set a password, and complete their profile in the mobile app.
  </Step>

Adding more than a handful of people? Use [bulk import](/en/teams/bulk-import) instead.

## Customising the invitation

**Admin → Invite Members** lets you write the invitation once and send it to whichever members or departments you choose. You control the subject, the message, and the call-to-action button.

</Frame>

<Tip>
  Say what Tap is for in one line before the button. An invitation that only says "you've been invited" gets ignored; one that says "this is how we're capturing leads at the conference next month" gets accepted.
</Tip>

## Editing a member's card

**Members → select the member.**

</Frame>

Everything about that person's card is grouped down the left:

<CardGroup cols={3}>
  <Card title="Content" icon="pen">
    **About** — name, title, email, phone, company website, bio, secondary contacts. **Links** and **Design**.
  </Card>

  <Card title="Communication" icon="comments">
    **Lead Capture** — the form visitors fill in. **Follow Up**.
  </Card>

  <Card title="Sharing" icon="share-nodes">
    **QR Code**, **Digital Wallets**, **Email Signature**, and **NFC Products**.
  </Card>
</CardGroup>

</Frame>

<Tip>
  **Email Signature** is the most overlooked item on that list. It generates a signature block carrying the member's Tap card, so every email they send becomes another way to be found — without anyone remembering to share anything.
</Tip>

You can also move a member to a different department or switch their template from here.

<Note>
  Moving a member to another department applies that department's permissions immediately, including which CRM connection their leads flow through. If a rep's leads suddenly start arriving in a different CRM account, check whether they were moved.
</Note>

## Members who haven't accepted

Invited members appear in the list before they accept. If someone never received their invitation:

  </Accordion>

  </Accordion>

  <Accordion title="Re-send the invitation" icon="paper-plane">
    Open the member and re-send. Old invitation links can expire.
  </Accordion>
</AccordionGroup>

## Removing a member

Removing a member revokes their access immediately.

<Warning>
  **Their leads stay with your team.** Removing someone does not delete the leads they captured or the meetings they recorded — that data belongs to the company, not the individual. Reassign their leads to whoever picks up their accounts.
</Warning>

Before removing someone who's leaving, it's worth checking whether they had a **personal** CRM connection. If they did, their leads were flowing into their own CRM account rather than the company's, and you may need to export those leads before the account goes away.

## Roles

Each member card carries a badge showing what that person can change.

<Frame caption="What each role can reach, and where the badge comes from">
  <iframe className="w-full aspect-video rounded-xl" src="https://www.youtube-nocookie.com/embed/cWNzjxN3z3g?rel=0" title="Tap Teams — Members and admin roles" allow="accelerometer; clipboard-write; encrypted-media; picture-in-picture" allowFullScreen />
</Frame>

| Role | Can do |
| - | - |
| Member | Manage their own profiles and links within department limits, capture leads, record meetings |
| **Sub-team admin** | Everything a member can, plus manage the people in their own department |
| **Full-team admin** | Everything, including members, departments, templates, integrations, and billing |

A sub-team admin's badge names the department they run — **Sub-team admin · Sales**, or **· Sales +1** when they run more than one. That can differ from the department they belong to, which stays on its own pill at the bottom of the card.

Sub-team admins only exist when **Department Admin Management** is switched on in [company settings](/en/account/settings). With it off, every admin is a full-team admin.
